Appointment Confirmations and Reminders

A booking is not complete because a calendar event exists.
The visitor needs a clear confirmation.
The business needs clear ownership.
A useful confirmation includes the basics.
Include:
- appointment type
- date
- time
- time zone
- location or meeting link
- who they are meeting when useful
- preparation instructions
- reschedule path
- contact information
Keep the confirmation transactional.
The visitor has just completed an action. Do not bury the appointment details inside a long promotional email. Put the important information first.
Use reminders to reduce ambiguity.
A reminder can reinforce:
- when
- where
- what to bring
- how to join
- how to reschedule
Do not add messages simply because the software allows it.
Different appointments may need different reminders.
A tax consultation, dental visit, home estimate, and legal intake may require different preparation. Use the appointment type to determine what is relevant.
Handle cancellation and rescheduling as part of the system.
Ask:
- does the visitor receive a reschedule link?
- does the CRM status change?
- is the owner notified?
- does the old follow-up stop?
- is a new confirmation sent?
Close unfinished loops.
If an inquiry was qualified but never booked, decide whether one reminder is appropriate, a staff task should be created, or the inquiry should simply close.
Do not create endless automated chasing.
