Immediate confirmation.

After a meaningful action, the visitor should know:

  • the submission worked
  • the appointment is booked
  • the correct time zone
  • what to prepare
  • how to reschedule
  • when to expect the next response

Internal ownership.

The business should know:

  • who owns the inquiry
  • what status it is in
  • what action is required
  • when that action is due
  • what happens if the action is not completed

Reminders should support the appointment.

Useful reminders can include:

  • date
  • time
  • location or meeting link
  • preparation instructions
  • reschedule path
  • contact details

Do not bury the important information inside marketing copy.

Unfinished journeys need a rule.

Examples:

  • form submitted but no booking
  • qualified lead did not choose a time
  • appointment cancelled
  • appointment rescheduled
  • inquiry needs manual review
  • required information missing

The system should define the next action instead of relying on memory.

Follow-up should not become spam.

More messages are not automatically better. Use the minimum communication required to:

  • confirm
  • remind
  • recover a clear unfinished step
  • route a request
  • close the loop
